Job Summary

About the Paid Leave Division:

Paid Leave is a new program launching in 2026. The program will provide partial wage replacement to Minnesota workers who are out of work due to a qualifying condition, such as a severe health condition that prevents them from working, or when they need time to care for a family member or a new child.

We are building a program that will be easy for every Minnesotan to use. We are engaging the people who depend on us-workers, employers, caregivers, and insurers-to learn from them and build the program around their needs. We are using modern service delivery and product practices to deliver the program.

The Paid Leave team has high standards and an unrelenting commitment to serving Minnesotans. It is a start-up environment without legacy systems or preconceived ways of working, so we have a unique opportunity to create human-centric processes and systems to deliver this new benefit to Minnesotans.

Position Purpose:

The Administrative Coordinator position maintains a comprehensive understanding of procedural and administrative guidelines while independently providing complex coordination and management of daily operations within the Paid Leave division. This includes the development, implementation, and monitoring of effective workflows, operational processes, and financial services. Responsibilities will generally include timely and high-quality support for human resource functions, asset and resource management, program support, and financial services. These duties will involve regular handling of sensitive and confidential information.

This position is part of a team of administrative support staff that collaborates on the daily operations and special projects throughout the year to support the overall work of the Paid Leave division.

Key Responsibilities:

  • Provide complex coordination and management of administrative functions and daily operations within the Paid Leave division
  • Collaborate with enterprise partners to provide critical support of the division's hiring, onboarding/offboarding, employee engagement, and workforce retention processes
  • Process various financial functions including the procurement, fulfillment, invoicing, and payment for all supplies, technology goods, and services ensure that all purchases are correctly executed per agency, state, and federal guidelines
  • Plan the acquisition, maintenance, renewal, and disposal of division resources including office supplies, IT equipment, meeting spaces, and facilities
  • Provide advanced coordination efforts in the undertaking and completion of special assignments, projects, events, and work groups that align with and drive the overall mission and purpose of the division
  • Conduct research, collect data, share recommendations, demonstrate expertise, and engage actively in partnerships with staff in other divisions or state agencies
  • Understand and interpret the needs of customers and provide quality services for all applicable services areas

This position is telework eligible and is occasionally required to be on-site at the St. Paul office. Staff are provided with the tools and equipment to be successful in a virtual work environment and may telework from anywhere in Minnesota or a neighboring state. Qualifications

Minimum Qualifications

Two (2) years of experience in general administrative work related to the management of a unit/program/division/department operation

  • Communicate in a variety of formats to gather and relay information with tact and diplomacy
  • Analyze and evaluate problems and issues at strategic level and provide creative problem-solving solutions

Preferred Qualifications
  • Associates degree in Business Administration or other closely related field as determined by the agency
  • Ability to work in a start-up environment where roles will evolve over time based on the needs of the organization
  • Skill in navigating local, county, or state government systems including policies and procedures
  • Knowledge of DEED programs and services
  • Office administrative support experience
  • Project management skills to track project and task status within project scope, costs, and timelines
